General Terms and Booking Conditions

Memberships

Membership will be renewable annually and will last for one calendar year from your joining date.

Excursion Details

Members will be sent excursion details every 4 to 6 weeks approximately 10 weeks in advance of an event. Early booking is recommended.

Payment for Excursions

Cheques can be accepted and should be made payable to the Herts Theatre Club. The club will also accept bank transfer please ask for details. When you make a booking, you are accepting the booking conditions on behalf of your party.

Dietary Requirements

Special Dietary requirements should be stated on the booking forms when meals are ordered.

External Circumstances

The Herts Theatre Club cannot be held responsible if due to any circumstances outside its control, i.e. the weather, an excursion is delayed, cancelled or cannot be completed.

Loss or Damage

The Herts Theatre Club cannot be held responsible for any loss, damage, injury, delay or inconvenience caused to members during excursions.

Personal Belongings

The Herts Theatre Club cannot be held responsible for any bags, clothing or other personal possessions that are left on the coach, theatre, restaurants, stately homes etc.

Third Parties

The Herts Theatre Club cannot be held responsible for the negligent acts or omissions of third parties over whom the club has no control.

Late Arrival

The Herts Theatre Club cannot be responsible if members miss the coach due to lateness. Please make due allowance for unforeseen delays and arrive at the boarding point with time to spare. Please be aware of coach return times and location, it is your responsibility to ensure you are on time for the onward and/or return journey. There is space on the booking form for your mobile number should we need to contact you on a trip.

Passengers Needing Assistance

Anyone who needs help is advised to have a carer or friend to accompany them as we do not have the resources to handle special requirements, there is normally plenty of space on the coach for wheelchairs etc. but you are advised to mention it on your booking form.

Cancellation by us

If the Herts Theatre Club has to cancel a proposed excursion due to lack of response from members your money will be refunded. If you cancel the club will endeavor to resell your ticket but cannot guarantee any money back.

Terrorism

The Herts Theatre Club cannot be held responsible for any injury delay cost or expense, directly or indirectly caused by, or resulting from any act of terrorism, or any act taken in controlling, preventing or suppressing any act of terrorism.

These conditions and all other expressed terms shall be governed in accordance with the laws of England.

Deposits

When you make a booking and send in your booking form you are accepting the Booking Conditions on behalf of your party.

Holiday Insurance

We do not act as agents or receive commission but the group travel companies we use sometimes offer insurance. This we will pass on to you purely as a service, It would be helpful to us if you send in the insurance money with your deposit. We do not offer any advice and a copy of the insurance will be forwarded to you with your booking confirmation if you have requested it. It is important to realise that most travel insurance does not include pre-existing conditions and it is important to inform them of any existing medical conditions if you are in any doubt.

Hotel Amenities and Room Booking Requests

Please remember that all hotel amenities (e.g. lifts, swimming pools etc) are beyond our control and therefore we are unable to accept responsibility for loss of these facilities during your stay.

Room Allocation.

Every effort is made to provide the type of room you have booked, and we will endeavour to convey special requests to the hotel, however we accept no responsibility for any failure to provide a special request and for which no supplement payment is made.

Special Requests

Should you have any special requests they should be made at time of booking and entered on the booking form. We will endeavour to forward these to the relevant parties but regret such requests cannot be guaranteed.

Cancellations

Should you need to cancel your holiday cancellation charges vary according to the group Tour Operator we are using. Copies of their cancellation charges are available on request.

Holidays Abroad

Insurance

For all foreign holidays, insurance is a requirement to travel with us.

Passports

For all foreign holidays you will require a full British Passport.

Carrying a European Health Insurance Card is a condition of most Travel Insurance providers when travelling within the EEC.

When on holiday please be careful with your passports, if possible, leave them in the safe at your hotel when you go out or another safe place. A copy of your passport would also be useful if you encounter problems.

Only take out what money and credit cards you think you will need for that day.

We are unable to accept responsibility if passengers are not in possession of the correct travel documents or visas.

Tea and Coffee Making Facilities

Whilst most UK hotels will supply these They are not normally supplied in your room outside the UK.
